Main Purpose of the Job:
To assist in the management of the office, operations and marketing activities of OneLook Productions with a focus on customer service, implementing systems and contributing to the growth of the company.

Reports to:
Manager of Operations & Owners

Duties and Responsibilities:
- Answers phone calls & respond to emails in a polite and professional manner
- Assist in scheduling shoots and managing photographer’s schedules to ensure an efficient as possible route based on locations and skill sets
- Tracking project status and deliverables through our proprietary software
- Coordinate content delivery and move projects through the applicable workflow
- Create and send invoices to clients
- Develop and maintain marketing assets for various purposes including social media platforms, website and print campaigns
- Manage & grow social media accounts for OneLook Productions and select clients
- Maintain customer database in CRM and other systems
- Develop engaging marketing email campaigns and newsletters
- Create high quality engaging content for social media, including reels, posts, behind the scenes etc. and work with other team members to create these assets
- Understand and effectively communicate the OneLook brand
- Communicate with clients and team members on multiple channels and platforms
- Assist in creation of training materials
- Adopt special projects from time to time as assigned by management based on the needs of the business
- Understand the benefits and effectively communicate the services and product offerings of OneLook Productions
- Participate in strategic planning and growth initiatives of the company
- Participates and engages in company culture
- Assist in maintaining HR/H&S program
- Accompanying photographers on shoots if needed for 3D Tours and Floor Plans

Skills & Mindset Required:
- Comfortable with managing a large number of tasks and projects simultaneously
- Excellent customer service, communication, and organizational skills
- Understanding of social media platforms and other marketing technologies
- Strong analytical, problem-solving, and decision-making skills
- Excellent time management skills with the ability to prioritize and meet deadlines
- Ability to work well in a high-paced environment and at times stressful environment
- Aptitude for technical/systems adoption and ability to pick up new technologies quickly
- Proficient with Google G Suite and word processing software
- Customer Relationship Management (CRM) software fluency
- Self-starter and ability to work with minimal supervision
- Proper spelling and grammar
- Passionate about the subject matter (primarily Real Estate and small business)
- Desire to learn more and grow within the company
- Ability to pivot with changes to scheduling/tasks
- Confident in their abilities & long term career focused

Requirements

Qualifications:
- High school diploma or equivalent required
- 1-2 years of experience in customer service, scheduling, office administration & marketing
- Knowledge of photography and/or videography considered an asset
- Experience with CRM and other project management systems

Working Conditions:
- Primarily in office position with flexibility for some remote work and some on site activities
- Long periods of sitting at a desk using a computer
- On occasion, working on site with varying indoor and outdoor conditions
- Flexible working hours, 3-4 days per week including some Saturdays. Full-time potential for the right candidate

Physical Requirements:
Strength Guidelines:
- Office & Marketing Coordinator may be required to lift approximately 20-30lbs

Motion Parameters:
- Office & Marketing Coordinator will be required to sit at a desk for long periods of time or if on site, periods of walking large properties

Vision and Hearing Requirements:
- Office & Marketing Coordinator may be required to drive for long periods or multiple times throughout the day. They also may be expected to spend long hours in front of a computer screen during days they are required to be in the office and editing.

Psychological Demands:
- Troubleshooting and problem solving are expected day to day activities. Writing and responding to emails and other forms of communication.

Other Compensation Details

Earning Potential:
- Salary Range $18-20/hr depending on experience + quarterly bonuses based on company sales
- Annual performance-based raises
