Position Summary

Reporting to the Registrar, the incumbent leads enrolment management processes and manages student inquires for distance (online) apprenticeship programs. The incumbent also provides clerical support and assists with student inquiries for all credit transfer processes.

Duties and Responsibilities

  • Liaise with Skilled Trades Ontario (Ministry) for information regarding eligible apprentices; manages related data and information.
  • Liaise with Academic Schools regarding apprenticeship seat purchase plan (intakes and maximum enrolments).
  • Create and manage course registration numbers (CRNs) each term
  • Issue apprenticeship invitations, in accordance with Ministry guidelines
  • Assist with monitoring seat confirmation requests and web self-registrations during the registration period to ensure seat maximums are respected and manage waitlists, as needed
  • Run reports, student lists, and transcripts for internal and external use
  • Respond to student inquiries related to eligibility, registration process, fees, and progression
  • Update Ministry apprenticeship database
  • Maintain and update program information
  • Assist Credit Transfer Coordinator with student inquiries, credit transfer applications, credit transfer fees, and credit transfer information
  • Review information to identify applicants who may be eligible for credit transfer
  • Assist with outreach to prospective students and applicants who may be eligible for credit transfer
  • Assist with recruitment activities
  • Research credit transfer policy, procedure, and student communication best practices
  • Assists with College events, including but not limited to convocation and open house
  • Other duties as assigned

Qualifications

  • Two-year post-secondary diploma
  • Minimum two (2) years of experience in an academic environment or office environment
  • Experience with information management and record management in a system or database
  • Excellent planning, organizational, and time-management skills
  • Strong attention to detail
  • Strong problem-solving skills
  • Excellent interpersonal and communication skills
  • Ability to work independently and as part of a team
  • Initiative and ability to prioritize and work under pressure within specified timelines
  • Proficiency with Microsoft Office Suite, including Excel
  • Demonstrated commitment to truth and reconciliation, valuing diversity, and contributing to an inclusive and accessible working and learning environment.
