Office Administrator & Experienced Bookkeeper

We’re searching for a multi-skilled Office Administrator & Experienced Bookkeeper who thrives in an environment where no two days look the same. Someone who’s just as comfortable reconciling bank accounts as they are organizing inboxes, coordinating client communication, managing tasks in cloud software, or even helping with light social media work.

What You’ll Do

Office Administration

  • Manage inboxes, follow-ups, scheduling, and document organization.
  • Handle client-related inbound and outbound calls — requests for information, updates, reminders, follow-ups.Coordinate
  • internal workflows and help keep projects and tasks moving forward.
  • Provide general support that keeps the business running smoothly day to day.

Bookkeeping

  • Manage full-cycle bookkeeping for multiple small business clients — including reconciliations, invoicing, HST, payroll, and financial reports.
  • Maintain clean, accurate QuickBooks Online files and support year-end preparation.
  • Organize, code, and track receipts through Dext.
  • Follow internal processes and deadlines using Monday.com.

Social Media & Creative Support

  • Assist with basic social media management — posting, scheduling, and organizing content.
  • Use Canva (or similar tools) to edit or prepare light visual content.
  • NOTE: If you have the skill to create graphics, captions, or campaigns from scratch — please highlight this in your application. It’s a major bonus.

Team & Process Development

  • Bring forward ideas that improve efficiency, communication, and workflow.
  • Take ownership of tasks, make informed decisions, and move quickly when needed.Seek clarity when required — and
  • confidently run with something when direction is given.
  • Act like a builder, not just a doer.

You’ll Thrive Here If You:

  • Have 2–5 years of bookkeeping experience, managing multiple client files end-to-end.
  • Bring office admin experience, including inbox management, organization, and client coordination.
  • Are comfortable with modern tools: QBO, Dext, Slack, Monday.com, Canva, Excel, Google Workspace.
  • Communicate clearly, confidently, and professionally — written and verbal.
  • Enjoy teamwork, but have no problem executing independently and taking initiative.
  • Are energized by a fast-moving, entrepreneurial environment where your input isn’t just welcomed — it’s needed.
  • Can take calculated risks, move quickly, adjust based on feedback, and understand that in growing companies, speed wins.
  • Love supporting people and helping businesses thrive.

The Details

  • Hours: 30+ hours per week (within Monday to Friday, 9–5).
  • Location: Napanee, ON: Hybrid (Occasional in-office required)
  • Compensation: $24–$28/hour, based on experience and skill. Benefits after 6 months.
  • Start Date: As soon as we find the right fit.
  • Growth: Expansion of hours and responsibilities available as the company grows.
