Position Summary: 
The Program Support Assistant (“PSA”) provides administrative support to the assigned clinical program and to the Program Manager. The PSA is responsible for facilitating the non-clinical operations of the assigned program, which may include reception, scheduling, coordinating team meetings (distributing agendas and taking minutes), administering client records, administering program referrals and correspondence, reviewing paperwork, monitoring inventory, purchasing supplies, and liaising with team members, clients, and third-parties (i.e. contractors). The PSA may be assigned to work in-person at any of CMHA HPE’s office locations, providing on-site reception and office administration support to the assigned location(s). The PSA will be expected to provide back-up coverage at other CMHA HPE office locations from time-to-time. The PSA is a front-line service provider, and often the first point-of-contact for the general public and clients arriving for in-person service, it is expected that the PSA will work in the reception area during regular business hours.

Minimum Qualifications & Experience: 

  • Two-year college diploma in medical office administration or related field of study
  • Two years’ experience in the administrative field, healthcare background preferred
  • Current certification in First Aid and CPR
  • Current certification in Non-violent Crisis Prevention
  • Current certification in SafeTalk
  • Mental Health First Aid or Applied Suicide Intervention Skills Training certification an asset
  • Electronic Medical Records (EMR) experience, EMHWare experience preferred
  • General knowledge of addiction and mental health topics and services
  • Understanding of, and ability to use, medical terminology
  • Knowledge and understanding of the Personal Health Information Protection Act (PHIPA)
  • Ability to work independently as well as collaborate in a team
  • Ability to retain information efficiently and perform in a professional and pleasant manner
  • Excellent customer service skills with demonstrated ability to deal appropriately with difficult and sensitive
  • situations and confidential information
  • Excellent organization and prioritization skills, along with the ability to deal with numerous competing demands in a fast-paced environment while observing deadlines
  • Ability to effectively communicate, verbally and in writing, with individuals internal and external to the agency
    including clients, caregivers, family members, allied professionals, colleagues and the general public
  • Well-developed computer skills in the use of database, word processing, spreadsheet, and communication
    applications; MS Office preferred
  • Must possess a valid Ontario Driver’s License, have regular access to a reliable vehicle and provide proof of adequate vehicle insurance, as necessary for the position
  • Required to provide a satisfactory criminal record check (CRC) with vulnerable sector screen prior to hire
