Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various software tools. This role involves managing front desk responsibilities, handling correspondence, and providing exceptional customer service to ensure smooth daily operations. Bookkeeping skills are a plus, as is experience in taxes. The successful candidate will be a proactive team player with excellent time management and organizational skills committed to maintaining an efficient work environment.

Duties

  • Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
  • Handle scheduling, calendar management, and appointment setting using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and proofreading to maintain accurate records and documentation
  • Assist with office management tasks such as supply ordering, tax document preparation, and correspondence handling
  • Provide customer support via phone and email, addressing inquiries promptly and professionally
  • Assist with data entry, accounts receivable and basic bookkeeping
  • Maintain organization of office files and ensure compliance with company policies
  • Support other administrative functions such as typing reports, managing office emails, and supporting team members with personal assistant tasks

Experience

  • Prior clerical or administrative experience preferred, including office management or receptionist roles in bookkeeping and tax offices
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and data entry skills
  • Experience with QuickBooks online, Profile and Canada Revenue Agency
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Excellent communication skills, both verbal and written
  • Demonstrated ability to handle multi-line phone systems and provide exceptional customer service
  • Familiarity with office equipment such as printers, scanners, and fax machines
  • Proven ability to manage time effectively and prioritize tasks to meet deadlines

Job Type: Full-time

Pay: From $19.55 per hour

Expected hours: No less than 40 per week

Ability to commute/relocate:

  • Belleville, ON K8N 4V4: reliably commute or plan to relocate before starting work (required)

Education:

  • DCS / DEC (required)

Experience:

  • Tax Administrative Assistant: 1 year (required)
