Office Administrator – Northumberland Yard

Hours: Monday to Friday, 7:30 am to 5:00 pm, occasional overtime as required

Responsibilities:
In the position Office Administrator your responsibilities will include, but not be limited to:

  • Answer, screen, and transfer inbound calls; check voicemail and email regularly for messages; correspond and communicate with the county administrator regarding road/route disruptions.
  • Greet and assist customers and visitors upon arrival at the office.
  • Sort and distribute incoming and outgoing mail, as well as courier packages.
  • Address customer concerns and provide appropriate direct support and/or escalate to management as needed.
  • Communicate with the Route Supervisors and Management on a daily basis.
  • File and maintain all administrative documents; update daily records; perform any other general administrative duties as required (both manual paper and electronic filing system).
  • Print and distribute (post) various documents and announcements.
  • Coordinate and/or complete some purchasing transactions such as office supplies and other items as requested to support the Northumberland operation.
  • Assist the route supervisor with daily data entry responsibilities (payroll and productivity).
  • Complete daily payroll and reconciliation reports in Ceridian Dayforce.
  • Dispatches commercial drivers to calls as they are received, using information on customer needs, drivers’ locations and loads, and daily factors to balance cost and speed of response.
  • Utilize the TRUX software system to complete daily route closure and review billing reports for accuracy.
  • Resolve billing issues or discrepancies, providing clear and timely communication with customers.
  • Oversee municipal invoicing, address inquiries from the county, and ensure billing aligns with contractual terms, rates and agreements.
  • Adhere to MWSI policies, procedures, and protocols.
  • Provide support to the management team with other projects and duties as assigned and the Northumberland operations.

Requirements:

  • Possess a minimum of one (1) year of administrative experience related to the above responsibilities.
  • Exhibit excellent communication (written, oral, and auditory) and customer service skills.
  • Be proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Be familiar with and/or have the technological aptitude to learn TRUX [responsible for managing Extended Producer Responsibility (EPR) blue bin sales], GeoTab, and Ceridian Dayforce.
  • Demonstrate abilities in managing time/multiple priorities with strict deadlines.
  • Show strong attention to detail with proven problem-solving skills and accuracy in your work.
  • Be able to work in the office (on-site) 5 days a week, as this is not a remote position.
  • Be willing to travel to train and provide administrative coverage at other locations when necessary.
  • Take initiative and can self-manage when appropriate.
  • Bring forth a positive attitude and work well in a team environment.
