About the Role

As the Office Administrator in our Napanee & Kingston locations (split through the week), you’ll be the welcoming face of the brokerage and the backbone of daily office operations. This role blends customer service, administrative precision, and light marketing support. You’ll work closely with agents, clients, and management to keep everything running smoothly.

Key Responsibilities

  • Greet clients and visitors, answer calls, and direct inquiries with warmth and professionalism
  • Process listings, offers, and trade files; ensure documentation is complete and compliant
  • Support agents with printing, scanning, filing, forms, and onboarding needs
  • Maintain office supplies, organize mail and couriers, and open/close the office daily
  • Complete digital filing, checklists, and routine banking
  • Post light social media updates and assist with website maintenance (no design work required)
  • Assist agents with propriatry system tools

  • (Nice to have) Familiarity with real estate software such as WEBForms/Skyslope, ShowingTime, DocuSign/Digi-Sign, Matrix/REALM, or Lone Wolf
